Starting Salary Range: $20.00-$25.00 per hour (based on bilingual status and/or experience)

ESSENTIAL FUNCTIONS:

The essential functions include:
- Collect data, create reports, and track trends as it relates to the program's outcomes, delivery, documentation, etc.
- Communicate report information with program managers and relevant outside agencies
- Data entry into electronic client management internal and external systems
- Enter clients into FAF, Welligent, Scan documents into FAF/Welligent
- Responsible for maintaining organization and providing administrative support to Family Preservation management such as scheduling meetings and filing.
- Expedite all incoming referrals from Family Preservation referral system to insure compliance with program contract timelines
- Assist in the coordination of specialized services and resources for the program's clients in conjunction with the program managers
- Engage outside organizations, including governing agencies, to problem solve, negotiate issues related to enrollment, paperwork, billing, and overall program administration
- Verify client information, CSW, SCSW and DPO contact information including emails
- Monitor and track documentation standards and timelines consistent with the program's and agency's timelines
- Manage Auxiliary /Discretionary Funds with program staff, and relevant outside agencies
- Track, read, and monitor budget information related to the program's funding
- Process monthly billing and submit to Finance Department
- Submit client monthly reports to DCFS and Probation Department
- Attend internal and external meetings as leadership representative with the County Family Preservation Program as assigned
- Attend all required trainings, All Staff meetings, Council on Accreditation and Department of Children and Family Services meetings.
- Document meeting minutes
- Facilitate a minimum of (4) Parenting classes and/or Domestic Violence groups each fiscal year
- Special projects as assigned
- Other duties as required
EDUCATION, EXPERIENCE & CERTIFICATES
- Minimum High School Diploma, Associate of Arts degree preferred
- 2 years administrative assistant experience
- Experience with Department of Children Family Services and Department of Probation programs preferred
- Ability to communicate effectively and professionally with adjunct service providers including Department of Children Family Services, Department of Probation, contractors, IHOCS, case managers/mental health rehab specialists
- Valid California drivers license, driving record and personal vehicle insurance acceptable to Hillsides' insurance carrier
