Starting Salary Range: $18.64 - $23.37 per hour (based on experience and/or bilingual status)

ESSENTIAL FUNCTIONS:

The essential functions include:
- Receive incoming telephone calls, respond to routine inquiries, and refer callers to appropriate personnel as needed
- Greet and assist consumers, walk-in referrals, staff, and visitors with questions related to internal and external services and with any other inquiries
- Manage on-site psychiatrist appointments for assigned programs
- Enter and maintain accurate data in the electronic health record (HER) system, internal and external client management systems, and web-based programs related to medication support services
- Coordinate day-to-day office operations between departments, program staff, and the broader office team
- Maintain records, files, forms, and office documents, including correspondence, invoices, reports, and data sheets
- Arrange meetings, manage calendars, and coordinate other program-related gatherings.
- Handle daily incoming and outgoing mail distribution
- Gather, organize, and maintain information needed for audits, reports, and program documentation
- Order, receive, stock, and distribute office supplies and ensure Financial Services forms remain available to staff
- Provide clerical and procedural support to program staff as needed.
- Collect data, create reports, track trends, and communicate relevant program information to program managers and outside agencies
- Expedite incoming referrals to support compliance with program contract timelines.
- Assist with the coordination of specialized services and resources for program clients in collaboration with program managers
- Coordinate with outside organizations and governing agencies to resolve issues related to enrollment, paperwork, billing, and program administration
- Verify Medi-Cal eligibility, Single Fixed Point of Responsibility, episodes, and client information
- Monitor and track documentation standards and timelines consistent with program, agency, and contractual requirements
- Manage Flex Funds/ Petty Cash in coordination with program staff, payroll, and relevant outside agencies
- Attend trainings, All Staff meetings, Council on Accreditation meetings, and Department of Mental Health meetings as required
- Track, review, and monitor budget information related to program funding.
- Provide coverage for other Administrative Assistants at other sites as needed.
- Work evening hours as requested

EDUCATION, EXPERIENCE & CERTIFICATES
- Minimum High School Diploma, Associate of Arts degree preferred
- 2 years administrative assistant experience
- Bilingual in Spanish required
- Experience with Department for Mental Health programs preferred
- Ability to communicate effectively and professionally with adjunct service providers including Department of Mental Health, subcontractors, therapists, case managers/mental health rehab specialists
- Valid California drivers license, driving record and personal vehicle insurance acceptable to Hillsides' insurance carrier
